Charlie Health is hiring a remote Patient/Care Scheduling Specialist to coordinate appointments, support patient enrollment, explain insurance and financial agreements, manage scheduling, and serve as a liaison between patients and care teams.
Job Description
The Patient/Care Scheduling Specialist is responsible for ensuring newly admitted clients successfully begin and remain engaged in treatment. This role combines scheduling, patient outreach, insurance discussions, care coordination, customer service, and appointment management.
The specialist serves as a central point of contact for patients and families, helping them understand treatment plans, insurance benefits, financial agreements, and aftercare resources while coordinating with Admissions, Billing, Clinical, Outreach, and Utilization Review teams.
Success in this position requires strong communication skills, emotional intelligence, CRM experience, healthcare customer service experience, and the ability to meet productivity metrics in a fast-paced environment.
### Key Responsibilities
* Make outbound calls, emails, and text messages to patients
* Assist patients with enrollment into treatment programs
* Explain insurance benefits and financial responsibilities
* Complete financial enrollment processes
* Coordinate with Admissions, Billing, Clinical, and Outreach teams
* Manage appointment scheduling and rescheduling
* Monitor treatment attendance and follow up on missed appointments
* Assist families with aftercare planning and provider referrals
* Document all patient interactions accurately
* Maintain KPI and productivity goals
* Resolve patient concerns and barriers to treatment
### Requirements
* High school diploma or equivalent
* Minimum 2 years customer service or patient support experience
* 1–2 years Salesforce or CRM experience
* 1–2 years contact center experience
* Experience discussing financial obligations with customers or patients
* Strong communication skills
* Knowledge of HIPAA requirements
* Ability to multitask in a fast-paced environment
* Experience using Slack, Zoom, Microsoft Office, Google Workspace, and EMR systems
